MessagingResident communication software
Resident communication software that reaches the right flats.
Write one message, choose who it is for — a resident, a floor, a building or the whole portfolio — and WiseBlock sends it by email, SMS, WhatsApp and in-app notification, each resident on the channels they asked for. Before anything goes, you see exactly who gets what.

Counts follow each resident's own channel preferences. Nobody is messaged on a channel they switched off.
Sheet 01Who it is for
Address the message to the people it concerns.
A water shut-off on the fourth floor is not news to the ground floor. Every message starts with its audience, picked from the residents already on record.
-
One resident, or a handful
Pick named residents for a message that only concerns them — a reminder, a reply, a key collection.
-
A floor of a building
Choose the building and the floor. Works notices, a leak below, a corridor being painted.
-
The whole building
Every resident of one block: fire safety notices, the annual meeting, a change of cleaning contractor.
-
Everyone in arrears
From the communications list, send payment links to every resident with an outstanding balance in one go, rather than one at a time.
Sheet 02The channels
Four channels, one message.
You write once. WiseBlock works out which channels each resident can be reached on and sends it on each of them.
| Channel | Sent through | Carries a file? | What to know |
|---|---|---|---|
| Mailgun | Yes | The full message, with its attachment, to the resident's email address. | |
| SMS | Twilio | No | Plain text to the resident's mobile number. |
| Zernio, on the WhatsApp Business platform | Yes | Same number as SMS, with its own opt-out. Service messages only — notices and reminders, not marketing — because that is what Meta allows. | |
| In-app | WiseBlock | No | Appears straight away in the resident's portal notifications. |
Residents choose their channels in their portal profile, and every message follows those choices.
Attachments
A message can carry one file: a PDF, a JPEG, PNG or WebP image, or an MP4 or 3GP video, up to 16MB — the limits Meta sets for WhatsApp, applied to email too so the same message works on both. The compose screen says plainly that SMS and in-app can't carry it.
From your own documents
If your organisation uses WiseBlock's cloud storage, the file can be picked from there instead of your desktop — only documents you are allowed to see and that WhatsApp will accept are offered. The works notice is shared with the message, not copied, so it doesn't use your storage twice.
Sheet 03The confirm screen
Nobody sends blind. You see who gets what.
Before a message leaves, WiseBlock resolves the audience and shows the breakdown: how many residents it reaches, and how many will get it by email, by SMS, on WhatsApp and in the app. A resident who has switched a channel off is left off that channel — the count you see is the count that will be sent.
After sending, every recipient has their own line: which channels went, whether it was delivered and, if not, the error. WhatsApp reports back as sent, delivered, read or failed, so "did the lessee on 4B get the notice?" has an answer.
The communications list can be searched and filtered by status, channel, building and date, and a filtered view is a link you can keep.
Sheet 04Incoming mail
An inbox for every building.
Each block gets its own email address that residents and contractors can write to. Mail to it lands in WiseBlock against that building, so whoever is covering the block that week sees the whole thread — not just the person whose personal inbox it happened to reach.
Your team can also connect their own work mailboxes — Microsoft 365, Gmail, or any IMAP account — and see them in the same place.
The Email Triage agent
-
Sorts
Classifies each email: maintenance, compliance, finance, resident query or spam.
-
Prioritises
Marks it urgent, high, normal or low, and labels the conversation.
-
Flags
Tells the team member responsible when something urgent arrives.
-
Drafts
Suggests a reply for common questions. A person reads it and decides whether to send.
Questions
Resident messaging, answered.
Can residents choose how they hear from us?
Yes. In their portal profile each resident switches email, SMS, WhatsApp, phone calls and post on or off, and chooses which kinds of update they want. Messages respect those choices automatically.
Why only service messages on WhatsApp?
Meta, which runs WhatsApp, does not allow businesses to send marketing as free text to people who have not written to them. Works notices, reminders and building updates are service messages, which is what WiseBlock sends.
Can I attach a document?
One file per message: a PDF, an image (JPEG, PNG, WebP) or a short video (MP4, 3GP), up to 16MB. It goes by email and WhatsApp; SMS and in-app notifications cannot carry files.
How do I know a message arrived?
Each recipient has a delivery line showing which channels were sent and whether each succeeded, with the error if one failed. WhatsApp also reports when the message was read.
Does the Email Triage agent reply on its own?
No. It classifies, prioritises, labels and flags, and it can suggest a draft reply. A member of your team decides what is sent.
